Troop Policies
Welcome to Troop 522's Troop Policy page. Please save this newsletter, bookmark this page, or print it for future reference as it covers most of our troop policies.
Troop Roster A copy of the troop roster (M4) will be made available to all parents. Please use this roster to get to know the other parents, coordinate carpooling, and stay informed if you and your daughter should miss a meeting. Please remember that it is your responsibility to call a troop volunteer if your daughter will miss a meeting and to get updates. We do not want any of the girls to miss out on Try-Its or level advancement.
Newsletters A newsletter will be sent home every month to help keep you up to date on the troops meetings and events, as well as community service projects and special events. These newsletters will be issued at the last meeting of each month. Information found in the newsletter can also be found on the troop website under the Newsletter button. Please understand that for the safety of our girls locations will be omitted from these entries. Updates to the newsletter will be sent home from the first meeting of the month as necessary. |
Calendars In addition to the newsletter we will be sending a calendar home. The calendar will be issued at the same meeting as the newsletter. This calendar will show meetings, parent helpers, and events and volunteer responsibilities. It will also include registration due dates so no one misses an event opportunity. This calendar will also be posted on the website under the Calendar button. Again, please understand that the online version of the calendar will not have locations or times listed for the safety of our girls.
Permission Slips If our troop will be attending an event outside of our scheduled time or location, a permission slip will be sent home to be filled out and returned. The permission slips will list all the pertinent information for the event and must be returned with the appropriate fees by the due date noted on the form. If you should need to have a duplicate click here. It is a GSUSA, GSRBC, and Service Unit 102 policy that volunteers are only allowed to act on the information provided on the permission slip and Health History form. Please be certain that you update all emergency contacts, assigned persons to pickup child, etc with the troops volunteers. This is for your child's safety. Some events will allow for chaperon's. When this is this case, chaperon's will be accepted on a first come, first served basis. To chaperon an event you must be registered and all payments to the troop and forms must be current. If you register your daughter and/or yourself for an event and are unable to attend, please call one of the volunteers before the event begins so we do not worry. No refunds are issued for non-attendance of an event, only for cancelled events.
Troop Dues All troop members pay troop dues in addition to the yearly registration fee. Troop dues will cover craft supplies, membership pins, badges, and Try-Its. Dues for the 2008-2009 school year are $2.50 per meeting. They may be paid at each meeting, monthly, or for the year. Please speak with the troop volunteers to inform them if you intend to pay monthly or yearly.
Uniforms and Handbooks Uniforms and handbooks are not mandatory to be part of this or any Girl Scout troop. However, we do wear a sash or vest so we are easily identified as Girl Scouts when we are out in the community. If you and your child choose to purchase the Handbook, Try-It book, or the set, you may find them at the GSUSA shop, the GSRBC shop, or you may contact one of the troop volunteers.
Sign In/Out Sheets and Tardy Pickups For the safety of our girls the troop volunteers require an adult to sign each girl in and out. Please be prompt in picking your daughter up as chronic late pickups can result in our troop loosing the privilege of meeting at our location. Also, please note that if a troop volunteer is not notified that you will be late we reserve the right to charge a "tardy fee". The "tardy fee" will be $1.00 for every minute past 7 minutes after our dismissal. This fee will be deposited into the troop funds to be used as troop dues. In the event that the fee in left unpaid by the next meeting or event, your child may not attend without prior arrangements between yourself and the lead volunteer.
Fund Raising Girl Scout troops are allowed to participate in fund raising for their troop, Service unit, and/or Council. Cookie Sales are a mandatory fund raiser for everyone in the troop. These funds will be credited to each girl but held within the troop funds. Should a girl leave the troop the funds will not be returned unless they are transferring to another troop. We will also be participating in other fund raisers as needed to keep the cost of events down for parents.
Discipline The volunteers of this troop will work with the girls to give them a good understanding of the Girl Scout Law. We will also encourage the girls to resolve conflicts by themselves peacefully. Time-outs will be used as a last resort for unacceptable behavior. If a girl continues to show aggressive and/or uncooperative behavior after a volunteer attempts to help resolve the conflict and gives time-out, the parent will be called to pick the child up. If the problem becomes chronic, especially if it disrupts meetings and/or upsets the other girls the lead volunteer will contact the parent to discuss a solution.
Parent Volunteers We are considering implementing the Parent Volunteer program. Through this program we hope to achieve a better relationship with our girls and their parents and for the parents to feel that this is more than just their daughter's troop, it is the parents troop as well. This program simply requires one parent to be present at each meeting to assist the trained volunteers. Each parent will be given the opportunity to select the meetings of their choice as many will need to check work schedules. Please speak with Chris regarding thoughts, concerns, and/or ideas you may have.
Open Door Policy Should any questions or concerns arise please contact the lead volunteer as soon as possible to discuss the matter. If the concern regards the lead volunteer, we ask that the parent's follow chain of command and contact the co-lead volunteer.
